Procedure

1. Upload document

First of all, the receipts/documents should be uploaded. Here, all vouchers relevant to accounting, including account invoices or credit card statements, must be uploaded.

✔️ Document is in order.

  • The document has been uploaded correctly.

  • The document is booked correctly.

❌ Document is not in order.

  • The document was uploaded incorrectly (two documents in one document, for example).

  • The document was not posted by Accounto.

  • Go to ⨠Accounting⨠Check bookings ⨠Escalated bookings and post the document manually.

TIP: Under Notes you will find a note as to why the document could not be posted!

2. Already paid?

💳 Has the invoice already been paid?

  • The receipt is ready for reconciliation.

TIP: You can leave us a handwritten note on the receipt if the invoice has already been paid. We will then change the status to "paid" for you.

💸 Would you like to pay the invoice via Accounto?

  • Under Accept invoices and Pay invoices you can approve the vouchers and generate a payment file for your e-banking accordingly.

  • Now the voucher is ready for reconciliation.

3. Receipt available?

✔️ Receipt is available and uploaded to Accounto.

  • Accounto matches or reconciles 70-80% of the transactions itself.

TIP: Transactions are only automatically reconciled if a document is available. Therefore, always upload documents promptly and regularly.

❌Document is not available.

  • The transactions cannot be reconciled automatically. You can find these transactions under ⨠Accounting ⨠Reconciliation ⨠Escalated.

  • Accordingly, you can upload the document and in Reconciliation ⨠Escalated to reconcile manually.

  • If you do not want to upload the document, you can manually book the transaction as described above.

    • If it is a repetitive transaction without a receipt, you can also work with booking rules.

TIP: With posting rules, you can achieve a degree of automation of up to 95%. If the automated posting uses accounts from Accounto that do not correspond to your account plan, you can also use posting rules to correctly notify all transfers for both old and future postings within seconds.

4. JOB DONE!

  • The transaction has been matched with the document!

These are all the steps that must be regularly processed by the SME or trustee so that the accounting can be automated and kept up to date.
