Create recurring invoices with booking rules so that they are automatically posted.

Where can I find this function?

You can find the module under ⨠Bookkeeping ⨠Booking rules.

Note: Make sure you are at your fiduciary level and have opened the correct mandate in your customer overview.

Create booking rule

  1. To create new booking rules, click ⨠ +Add booking rule.

  2. Here you can always see which bookings are affected by the rule.

  3. "Title" Give the booking rule a title.

  4. If you activate "Rule is live", all future bookings will be booked. If you also activate "Process current bookings", past bookings will also be reposted.

  5. Select under "Filter bookings" which bookings it concerns.

    In the "Booking details" section, enter the information of the original posting (as it is automatically booked by the system) that should be changed by the posting rule (trigger). For all empty fields, the already existing data will be applied.

  6. Enter the debit or credit account (incl. VAT code) to which the transaction is normally posted. Later this will be displayed as "Original account".

  7. You can enter an address e.g. of a vendor or customer.

  8. What does the entry text contain? Enter the text that will trigger the entry.

  9. Is the amount always the same? Enter the amount that triggers the posting; from - to.

  10. You can narrow down the period for the posting rule. Enter the date from-to.

    In the section "Repostings & changes" you enter the information how to repost the original entry. For all empty fields, the already existing data will be taken over.

  11. To which posting account should be posted? Later this will be displayed as the destinated account.

  12. Here you can enter an address e.g. from a vendor or customer if the existing address is to be changed.

  13. Here you can enter a text for the entries to be reposted.

  14. optional: Displays the entry in "accept invoices" (for control).

  15. Press Save.

    a. ❗ IMPORTANT: If the rule is already active (see point 4) and the rule is saved, the bookings will be rebooked immediately. You can leave the bars on inactive and save the booking rule without rebooking anything.

NOTE: Do you want to make sure you did everything right?

View, edit or delete booking rule

After you have successfully created a booking rule, it appears in the overview with the following units:

  • Title: The title you selected when creating the posting rule.

  • Creation date: The date when the posting rule was created.

  • Triggers: Short overview of the trigger such as: "Origin account, "VAT code" or "Amount".

  • Actions: Here the "Target account" and if selected, "Show in "Check postings"" are displayed.

On the right side of your booking rules you will find the following icons:

🖍 Click on this icon to edit the booking rule.

🗑 Click this icon to delete the booking rule permanently.
